Eligible Students

  • Current Access Center students who have been approved for testing accommodations are eligible to use the Accommodated Testing Office (ATO) for their exams.
  • Students not registered with the Access Center may use the Office of Testing Services in Tivoli 347 or complete the Steps to Register for Services with the Access Center.
  • Eligible students must also request their semester letters prior to being able to schedule their exams in the ATO. Instructions for this process are in the Requesting Letters Student Guide.

Scheduling an Exam

Tests must be scheduled at least 3 business days before the test. This ensures time for our office to communicate with instructors and receive the test material. The table below shows the schedule deadline for each day of the week. Please note that these deadlines do not reflect holidays, which may change the deadline for scheduling.

There is no limit to how early exams can be scheduled, so students are strongly encouraged to review their course syllabi and Canvas announcements at the beginning of a semester to schedule all exams well in advance. Students should never rely entirely on verbal reminders from their instructor for exam dates.

Exams should be scheduled on the same day and time as the rest of the class. If the accommodated time for an exam would overlap with another class, students may shift their time as long as they enter a note on the schedule request to notify ATO staff of this. Scheduling an exam for a different day or otherwise outside the designated exam window requires instructor permission. Students may forward written permission from their instructor to [email protected].

When scheduling, students are responsible for selecting the specific accommodations they intend to use for each exam. Students are strongly encouraged to be thoughtful of which accommodations they select for each exam to ensure the best experience in the ATO.

Rescheduling or Cancelling Exams

Students who need to change the date or time of their scheduled exam should contact the ATO to adjust the existing appointment.

Students who no longer intend to take their scheduled exam in the ATO may cancel their exam online through the Accommodations Hub. Students should not cancel exams they intend to reschedule. Instead, follow the rescheduling instructions, above.

Technical Issues While Scheduling

Students who encounter any technical issues while attempting to schedule their exam should send a screenshot of the error or issue encountered along with a description of the steps being taken at the time to [email protected] as soon as possible. Students who fail to report issues in a timely manner or fail to provide evidence of the issue may still be subject to ATO scheduling policies.

Final Exam Scheduling

Due to the high volume of exams scheduled during the university’s designated final exam week, all exams needing to be taken during finals week must be scheduled no later than the Wednesday before. Exceptions will not be made except in extreme circumstances, and at the discretion of Access Center staff.

Preparing for an Exam

  • Students taking online exams should check the Canvas exam information the day before the exam to confirm their instructor has set the correct date and time for it. Contact your instructor immediately if the time appears incorrect, or contact the ATO for assistance.
  • Students should verify with their instructor what items they will need for the exam, and what materials will be permitted.
    • We strongly recommend getting this verification in writing in case the ATO has different information. We cannot permit any unauthorized materials without verification from the instructor.
    • The ATO does not provide items like Scantron sheets and Green books. Please verify with your instructor if they will be providing this or if it is your responsibility to purchase them.
  • Students with text-to-speech or other audio-related accommodations are strongly encouraged (but not required) to bring their own wired headphones. Bluetooth devices are not allowed. The ATO will provide wired headphones for students who do not have them.

Checking in for an Exam

  • Students who are sick are asked to stay home and contact the ATO to reschedule their exam to ensure the health and safety of all students, faculty, and staff.
  • Students should arrive 10 minutes before their exam time to check in and set up. Students requiring a computer for their exam should arrive 15 minutes early.
    • Students expecting to be late should contact the ATO as soon as possible.
  • Students should speak quietly while in the check-in area so as not to distract other students taking exams.
  • Upon checking in, students will be asked to store all non-exam materials in one of our lockers unless they have an approved accommodation for them.
    • All electronics – including phones, smartwatches, headphones, and smart glasses – must be placed on silent mode or turned off and left in a locker. Please also be sure to silence any alarms.
    • Only water is permitted in testing areas. All other drinks and snacks should be kept in the locker.

During the Exam

  • Restroom breaks are not permitted on exams less than 1 hour in length unless a student has an approved accommodation. For longer exams, students should leave all exam materials on their desk and notify the proctor at the front.
  • Respect ATO property. Please do not write on the desks or otherwise mishandle items borrowed from the ATO. Please also ensure your desk is free of trash and eraser bits before concluding your exam.

Checking Out

  • Return any borrowed items at the end of your session: calculators, pencils, scratch paper, stress balls, etc.
  • Turn all exam materials in to the proctor, including notes and scratch paper if requested.
